This policy explains how Connectify AI (“Connectify”, “we”, “us”) handles personal data. We provide a managed AI phone and WhatsApp assistant for dental and medical clinics in Singapore. It covers visitors to this website, our clinic customers, and patients or callers whose data we process on a clinic’s behalf. Singapore’s Personal Data Protection Act (PDPA) governs this policy.

1. Information we collect

We may collect:

  • Your phone number, call recordings, and call transcripts.
  • Appointment details you give us, such as name, date, time, and the reason for your visit.
  • WhatsApp messages you send us, and your WhatsApp number.
  • Your consent choices. Every call opens with a recording and AI notice. You can opt out and reach a person or voicemail.
  • Clinic account data, such as name, work email, and role.
  • Basic website and analytics data, and cookies (see Cookies below).

2. How we use your information

We use this data to run the clinic’s service. This includes:

  • Answering and routing calls.
  • Booking and managing appointments.
  • Sending confirmations and reminders, and answering routine questions over WhatsApp.
  • Passing urgent matters to clinic staff.
  • Giving the clinic reports about its calls and bookings.
  • Billing the clinic and keeping the service secure.

We do not sell your personal data. We do not use it for advertising. We do not use data obtained through WhatsApp for anything beyond the clinic’s service.

3. How we share your information

We share data only with service providers who help us run the product, under contract. By category, these are:

  • Cloud hosting and database providers.
  • Telephony and messaging providers, for calls and WhatsApp delivery.
  • AI processing providers, for speech-to-text, language, and text-to-speech.
  • Calendar and scheduling providers.
  • Payment providers, for clinic billing.
  • Email and monitoring tools.

A current list of our named sub-processors is available to our clinic customers on request under our Data Processing Agreement.

4. WhatsApp data

Data we receive through WhatsApp — your WhatsApp number and message content — is used only to provide the clinic’s appointment and enquiry service. We never sell it or use it for advertising. We keep it as described in Data retention below, and we delete it on request through the contact below.

5. International transfers

Your data is stored mainly in Singapore. Some data may be processed outside Singapore under contractual safeguards, as allowed by PDPA Section 26.

6. Data retention

We keep personal data only as long as we need it to provide the clinic’s service and to meet legal duties. Clinics can set retention limits for their own data. When data is no longer needed, we delete it.

7. Your rights and data deletion

Under the PDPA, you may ask to access or correct your personal data, or withdraw your consent. If you are a patient or caller, you can use these rights through your clinic, or by emailing our Data Protection Officer.

How to request deletion of your data: email dpo@connectify.ai with your request. We will confirm and act on it within a reasonable time, unless the law requires us to keep the records.

8. Cookies

This website uses essential cookies to work properly, and basic analytics to understand how visitors use the site. We do not use advertising cookies. You can block cookies in your browser settings.
